The asset in your clinic

Every clinic has a list it never calls.

A patient who has already sat in your chair trusts you, knows your fees, and knows where the clinic is. You spent nothing to acquire him. He is simply overdue.

Illustrative clinic — your own numbers come out of the import, in week one
Why the list never gets called

It is not neglect. It is one person and four jobs.

11:40

Two patients waiting, one on the phone, one at the desk asking about fees.

2:15

Lunch. Nobody wants a call from a clinic at 2:15.

6:30

Peak chair hours. Calling a lapsed patient now is unthinkable.

9:00

Clinic shuts. The 341 overdue patients are still 341.

Recall is the first task dropped every single day, because it is the only one with nobody standing in front of you.

Missed Revenue Audit

One recall cycle, at your own fee list.

Your numbers, not ours. Nothing is sent anywhere — this runs entirely in your browser.

Findings

Every assumption is printed next to the figure it produces.

If you don't know, the register import counts them for you in week one.

Your overdue list ₹19,096

Unanswered enquiries ₹69,300

No-shows ₹10,395

On the floor, every month ₹98,791
Vakoza Growth — recall included ₹5,999 / month

What Vakoza does

Three jobs, all of them on WhatsApp.

01 · Answer

Every enquiry, in seconds

Timings, fees, address, "aaj ka slot hai?" — answered and written into your day sheet. Including at 11pm. Anything medical is refused and flagged to you.

02 · Remind

Fewer empty chairs

A reminder the day before, with one tap to confirm or shift. The slot gets moved instead of lost.

03 · Recall

The overdue list, worked daily

Six-month cleanings, monthly ortho, ten-day RCT checks. Vakoza asks each patient by name, a few every morning.

The recall queue

Thirty patients a morning, oldest first.

Throttled on purpose. A clinic that messages 341 people in one hour gets reported as spam — and the number that gets reported is yours.

Example recall queue: patients ordered by how long they are overdue

The patient's name, your clinic's name, and the treatment he actually had — not "Dear Sir/Madam".
Written in the language he messages you in, and it keeps to that language for the whole thread.
One message, then silence unless he replies. A one-word opt-out in every thread, honoured permanently.
Sent from your own number, so a patient can simply reply — and a real reply reaches a real person.
Getting your data in

Your register comes in however it exists today.

Excel sheet

Drop the file in. We map the columns with you — "Mob No", "Work Done", "Amt", whatever your clinic calls them.

Old software

Dentalsoft, Praxis — anything that exports a CSV.

Phone contacts

The clinic phone usually holds more patients than the software does.

Paper register

Photograph the pages. We type them in and show you exactly what we read before a single row is saved.

Duplicates merge on the phone number, numbers are cleaned to +91, a row we can't read a date on is rejected rather than guessed — and nothing is sent to anybody until you have read the first batch yourself.

What your staff sees

One screen. The day, top to bottom.

Your receptionist already runs the clinic off a register and a phone. Vakoza replaces the register, not her judgement.

For the doctor

The history, the pending work, the receipt.

Every visit, tooth by tooth

What was done, on which tooth, by whom, and when — on the patient's record before he sits down.

Treatment left

Quoted but not started, started but not finished. Every one of these is booked revenue waiting, and each one has a recall date.

Receipt and balance

Record the visit, take the payment, send the receipt on WhatsApp. Outstanding balances are carried on the patient's record instead of a diary.

Your number stays yours. And it stays safe.

The question every dentist asks first, answered plainly.

Official WhatsApp Business Platform

Vakoza connects through Meta's own API using the official connection flow. It is not a bulk-sender, not a browser automation, not an unofficial workaround — the category of tool that gets numbers banned.

Recall is a queue, never a blast

A few dozen patients a morning on Meta-approved templates, oldest first — the pattern of a receptionist working down a list, because that is what it is.

Only your own patients, only with your say-so

Vakoza messages people who are already in your register and nobody else. The first batch goes out only after you have read it. Your list is never used for another clinic — not once, not ever.

Meta-verified, Udyam-registered

Vakoza's business identity is verified with Meta, and it is a registered Indian MSME — not an anonymous website.

What it will never do

Because the fastest way to lose your trust is to overpromise.

It won't give medical advice, a diagnosis, or a treatment opinion. Ever.
It won't quote a price for a treatment the doctor hasn't seen.
It won't message anyone outside your own register, or send a batch you haven't approved.
It won't message a patient again after he has opted out — or lock you into a contract.
The pilot

Sixty days, on your register, at our cost.

1

Week 1 — we import and clean

Your number connects through Meta's official flow (ten minutes of your time). Register in, duplicates merged — and you see your overdue list, and what it is worth, before anything is sent.

2

Week 2–8 — thirty a day, you approve

The first batch goes out only after you have read it. Replies are handled, bookings land straight in the day sheet, and anything medical is passed to you.

3

Day 60 — we show you the collection

Patients returned and rupees collected, on paper. You decide then, not now.

Hi — I'm Yash Parmar. I built Vakoza, and right now I'm the only person here.

I built it because of my family's clinic. Patients would WhatsApp in the evenings when the doctor was with someone, and nobody replied — and the old register sat in a drawer with hundreds of people in it who hadn't been in for years. Nobody ever had a free afternoon to call them.

Vakoza hasn't launched. You'd be one of the first ten clinics, and I'll set it up sitting in your clinic myself, free, for sixty days. If it doesn't bring patients back, throw me out — you've lost nothing and you keep the cleaned-up register.

No sales pitch. If you'd rather just ask me questions, message me.

Two plans. Both start with 60 days free.

Flat monthly fee per clinic. Unlimited patients, unlimited messages, every chair, your whole register. No per-message charge and no annual lock-in.

If recall brings back four patients, the month is already paid.

Setup, register import & training — ₹9,999 one-time

Waived for our first 10 clinics. I do it with you, in person if you're in Delhi NCR.

Sixty days free on either plan. No card, no auto-debit. Stop any month and your data exports to Excel.

A part-time receptionist costs ₹15,000/month, works 9–6, and never gets to the recall list either.

Questions dentists actually ask

Anything else, message me on WhatsApp or email hello@vakoza.com.

Will patients find it irritating?

One message, then silence unless he replies. Every recall thread carries a one-word opt-out and an opt-out is permanent. Vakoza only ever messages people already in your own register — never a bought list, never anyone else's patients, and never a promotion you haven't asked for.

Will my WhatsApp number get banned?

Vakoza connects through Meta's official WhatsApp Business Platform using the approved connection flow, and we're a Meta-verified business. Recall goes out in small daily batches on Meta-approved templates, never as a bulk blast. Bans happen to unofficial bulk-senders and browser automations. This is not that.

Do I need a new number?

No. Vakoza runs on your existing WhatsApp Business number and patients see nothing change. After setup you manage conversations from the Vakoza dashboard instead of the WhatsApp Business app.

My register is a paper book. Can you still use it?

Yes. An Excel or CSV export goes straight in — we map your columns with you, whatever they're called. For a paper register, photograph the pages and I'll type them in and show you exactly what I read before anything is saved. Duplicates merge on the phone number, numbers are cleaned to +91, and a row whose date we can't read is rejected rather than guessed.

What if a patient asks something medical?

Vakoza doesn't answer it. It tells the patient a doctor will respond and flags it to you immediately. Diagnosis, symptoms, treatment opinions and prescriptions are hard-blocked.

Is patient data safe? What about DPDP?

Your clinic's data stays yours and exports to Excel any day you ask. Vakoza is built around the DPDP Act 2023 principles: consent, data minimisation, and deletion on request. Data is encrypted in transit and at rest, never sold, and your register is never messaged on anyone else's behalf. Full detail is in the privacy policy.

My staff will not learn it.

She learns one screen — the day sheet. It replaces the register, not her judgement, and there's no new device to buy. Setup takes about ten minutes of your time, and I sit in your clinic on day one and again on day seven.

Does it work with my calendar?

Google Calendar works out of the box. For any other system, message me directly and I'll tell you honestly whether it can be connected.

What if it does nothing?

Then you stop after sixty days having paid nothing, and you keep the cleaned-up register. No charge, no card on file, and you keep every booking it made.

Has anyone else used it?

Not yet. Vakoza hasn't launched. You'd be one of the first ten clinics, which is exactly why the pilot is free and I do the setup personally. I'd rather tell you that now than show you someone else's numbers.

All we need this week is your register.

Send the Excel export, or photograph the first twenty pages. Within a few days you'll see how many of your patients are overdue and what they're worth — before you decide anything.

Three fields. I'll ask about the register when we set it up together. No spam, and I don't sell your data. Or just message me on WhatsApp
